BEx Broadcasting and Precalculation

Some of our customers use Excel as an entry mask for their key figures. Excel files offer a number of advantages: users value the tried and trusted interface and the extensive range of options offered by Excel with regard to input, in particular when working with decentralised recording and compilation of data.

The figures are then often exported to CSV files for loading into the SAP BW system. In particular in planning and budget processes, the need may arise for the data acquired in this way to be extracted from the system later on for use as comparison figures in the Excel files.

In this context, the BEx Broadcaster, together with a precalculation server, provides an elegant option to do the following with SAP products:

-Automatically fill the relevant Excel files with the correct comparison figures

-Save these workbooks centrally or send them to a recipient by email

An Excel input file with a column for the existing comparison figures on the left and a column for data entry on the right.

Technically speaking, the BEx Broadcaster is integrated into SAP BW, in both the RSA1 via the process chain management...

...and the SAP-Portal: this allows the creation of web pages and, if a precalculation server is being used, Excel workbooks, as well as allowing these to be saved in the portal, for example, or sent by e-mail.

The precalculation and the sending of the Excel files can be planned and monitored using SAP BW.

In this example, the user obtains an Excel file automatically filled with BW-data.

In technical terms, a differentiation must be drawn between the sending of emails and the pre-calculation of workbooks. A dedicated precalculation server is required for the latter, which executes and saves the workbooks for the required selections.
